What this policy covers

This policy explains what personal data GuardLet collects, why we collect it, how long we keep it, who we share it with, and what rights you have over it. It applies to:

What data we collect

From the waitlist and this website

From your GuardLet account (once launched)

Why we collect it

What we collectWhy
Name, emailTo create and manage your account, send waitlist and trial communications
Property & certificate dataTo run the core service — tracking expiry dates and sending reminders
Tenant data you enterTo generate compliance checklists, deposit tracking and notices on your behalf
Right to Rent recordsTo help you track recheck dates for time-limited permissions
Payment detailsTo process subscription billing via Stripe

Our legal basis for processing this data is primarily contractual necessity (we need it to provide the service you've signed up for), and in some cases legitimate interest (such as basic security monitoring) or consent (such as marketing emails, which you can opt out of at any time).

Your role and ours, when it comes to tenant data

When you, as a landlord, enter information about your tenants into GuardLet, you are the data controller for that tenant data — you decide what's collected and why. GuardLet acts as a data processor, storing and processing that data only to provide the service to you. You're responsible for having a lawful basis to hold and share your tenant's information, including under any tenancy agreement or applicable law.

Who we share data with

We don't sell your data. We share data only with the third parties needed to run GuardLet:

Each of these providers processes data under their own privacy and security terms, and we choose providers that meet UK GDPR requirements. Your data is stored on servers based in London, UK.

We will never share your data with third parties for their own marketing purposes. We may disclose data if required to by law, or to protect the rights, property or safety of GuardLet, our users, or others.

How long we keep your data

To exercise any of these rights, email murnaz1206@gmail.com. We'll respond within one calendar month, as required by law.

If you're unhappy with how we've handled your data, you have the right to complain to the Information Commissioner's Office at ico.org.uk.

Security

We use industry-standard safeguards to protect your data, including AES-256 encryption at rest and TLS/SSL encryption in transit. Access to your account data is restricted and authenticated. No system is completely secure, and we encourage you to use a strong, unique password for your GuardLet account.

Children

GuardLet is intended for use by adults managing rental property. We do not knowingly collect data from anyone under 18.

Changes to this policy

We may update this policy as GuardLet evolves. If we make material changes, we'll notify account holders by email and update the "last updated" date at the top of this page.
